The 54-Point Care Agency Automation Checklist
1 June 2026 · 4 min read
If you run a care agency, this checklist covers every automation opportunity I've found across dozens of agencies. Nine categories, 54 items. You don't need to do all of them — but if you're doing fewer than 10, you're leaving time and money on the table.
Print it out. Work through one section a week. By the end, your agency will run differently.
1. Setup
- Identify your top 3 time-consuming admin tasks and time them
- Create a shared digital folder for all care documentation (Google Drive or SharePoint)
- Set up a free AI assistant (Claude or ChatGPT) with your agency context
- Write a one-page brief: your agency size, services, CQC rating, and biggest pain points
- Give your AI tool your care plan template so it learns your format
- Bookmark the CQC regulatory guidance page for your service type

- Auto-generate incident report summaries in family-friendly language
- Set up a schedule for proactive family check-in calls with talking points

- Set up automated weekly reports for your registered manager
- Track occupancy rates and forecast trends monthly
- Create a CQC-ready quality assurance report template

- Create automated review request emails for families after 90 days
- Set up a monthly newsletter template that pulls from your care activity data
Where to Start
Don't try to do everything at once. Here's the order I recommend:
- Week 1: Complete the Setup section — get your foundations in place
- Week 2: Tackle Finance & Admin — this is where the money is
- Week 3: Compliance & CQC — protect your rating
- Week 4: Staff Management — reduce your admin burden on HR
The rest can follow at your own pace. But those first four weeks will change how your agency runs.
