The 54-Point Care Agency Automation Checklist

If you run a care agency, this checklist covers every automation opportunity I've found across dozens of agencies. Nine categories, 54 items. You don't need to do all of them — but if you're doing fewer than 10, you're leaving time and money on the table.

Print it out. Work through one section a week. By the end, your agency will run differently.

1. Setup

  • Identify your top 3 time-consuming admin tasks and time them
  • Create a shared digital folder for all care documentation (Google Drive or SharePoint)
  • Set up a free AI assistant (Claude or ChatGPT) with your agency context
  • Write a one-page brief: your agency size, services, CQC rating, and biggest pain points

  4. Week 4: Staff Management — reduce your admin burden on HR

The rest can follow at your own pace. But those first four weeks will change how your agency runs.
